Terms of hire

These terms apply to every room booked through meeting-rooms.uk. The rooms are provided by OS Offices Ltd ("we", "us"). By making a booking you ("you") agree to these terms.

1. What you are booking

A booking gives you the right to use the room you chose, at the building you chose, for the time you booked. It is a licence to use the room for that time only. It does not create a tenancy and gives you no right to occupy the room at any other time.

Each room comes with the furniture and equipment listed on its page. Shared areas such as reception, waiting areas and washrooms may be used by other people in the building.

2. Who can book

You must be at least 18 to book. If you book for a company or organisation, you confirm you have its authority to do so, and these terms apply to it as well as to you.

The number of people in the room must not be more than the number shown on the room's page.

3. Booking and payment

Bookings can be made Monday to Friday, during each building's bookable hours, at least 1 hour before the start time. The minimum booking is 1 hour.

Prices are shown on the site plus VAT at the current rate. Prices may change, but the price confirmed when you book is the price you pay for that booking. All bookings are subject to availability.

A booking is only confirmed when you receive a confirmation from us by email. Where online payment is available, payment is taken in full when you book. Where we confirm a booking request by email, payment is due before the booking starts.

4. Cancelling or changing a booking

You can cancel for a full refund up to 24 hours before your booking starts. If you cancel less than 24 hours before the start time, or do not arrive, the booking is not refundable.

To move a booking to another time, contact us at least 24 hours before it starts. We will move it if the room is free.

If we have to cancel your booking, for example because the room cannot be used or the building is closed, we will refund you in full. Our liability for a cancellation by us is limited to that refund.

5. Using the room

  • Arrive and leave within your booked time. Allow a few minutes at each end to set up and clear away, inside your booking.
  • Check in at reception when you arrive, or with security where a building opens before reception.
  • Leave the room clean and tidy, as you found it. Remove your own equipment and products.
  • Do not use the room for anything unlawful, or for events, parties or anything likely to disturb other people in the building.
  • You are responsible for your guests while they are in the building. Let reception know their names in advance where you can.
  • Do not move or alter fixtures, fittings or equipment without our agreement. Leave furniture as you found it.
  • Food and drink are fine in the room, but please take away anything you bring in and leave the table clear.
  • No smoking or vaping anywhere in the buildings.
  • Follow the building rules and any reasonable instructions from our staff or building security.

6. Your equipment and belongings

You are responsible for any equipment, products and belongings you bring. Any electrical equipment you bring must be safe and in good working order. We are not responsible for loss of, or damage to, your belongings unless it is caused by our negligence.

7. Damage

You are responsible for any damage to the room, its contents or the building caused by you or your guests, other than normal wear and tear. We may charge you the reasonable cost of repair or replacement, or of extra cleaning where a room is left in poor condition.

8. Liability

You agree to cover us against any claim made against us that arises from your use of the room, your guests or your breach of these terms.

We do not exclude or limit liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law. Otherwise, our total liability to you for any booking is limited to the amount you paid for that booking, and we are not liable for loss of business, income or profit.

9. Ending a booking early

We may end a booking without refund if you break these terms in a serious way, if your conduct puts other people at risk, or if you use the room for a purpose that is not allowed.

10. General

We may update these terms from time to time. The version on the site when you book applies to that booking. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.

11. Monthly hours for members

Where your company has an agreed number of meeting room hours each month, bookings are taken from those hours first. Hours over your allowance are charged at the room prices shown on the site. Unused hours do not carry over unless we have agreed otherwise in writing.
